What to include on a web design invoice
Along with the basics (your details, the client's details, an invoice number, dates and totals), make sure you cover:
- Milestone being billed
- Name the milestone, like "Design approval (40%)", so the client sees where the project stands.
- Recurring services
- Hosting, domains and maintenance plans belong on their own lines with the period they cover.
- Third-party costs
- Themes, plugins, fonts or stock images bought on the client's behalf, listed separately.
- Handover conditions
- If files or credentials are released on payment, say so in the terms.
Tips to get paid faster
- Tie payments to milestones the client signs off on, not to calendar dates.
- Bill recurring hosting annually in advance to reduce admin.
- Use the per-item discount for any agreed launch discount so the full price stays visible.

How should web designers split project payments?
A common split is 30–50% upfront, a middle payment at design approval, and the balance at launch. Invoice each milestone separately.
Should hosting be on the same invoice as the project?
It can be, as a separate line with its period (for example, 12 months). Many designers invoice it separately so renewals are easy to track.
Can I show a discount on a web design invoice?
Yes. Turn on per-item discounts to show a percentage off a line, or add an invoice-level discount. Discounts are applied before tax.
