Free Consulting Invoice Template

Consulting invoices often combine a monthly retainer, extra hours beyond it, and reimbursable expenses. Keeping those on separate lines makes the invoice easy to approve and easy to audit later.

What to include on a consulting invoice

Along with the basics (your details, the client's details, an invoice number, dates and totals), make sure you cover:

Service period
State the period covered (for example, 1–30 September) so retainers and hours map to a month.
Retainer vs. additional hours
Show the retainer as one line and any hours over the retainer as a separate line at your hourly rate.
Reimbursable expenses
List travel or third-party costs at cost, one line each, usually without markup unless agreed.
Engagement reference
Reference the statement of work or engagement letter the fees come from.

Consulting invoice FAQ

How do I invoice a consulting retainer?

Add one line for the retainer covering the service period, at the agreed monthly fee. Bill extra hours on their own line so the retainer amount stays the same every month.

Can I add expenses to a consulting invoice?

Yes. Add each reimbursable expense as its own line item. Taxes on expenses depend on local rules, so set the tax rate per line.

What should a consulting invoice's notes say?

The service period, the engagement or SOW reference, and who approved the work. That's usually all the client's accounts team needs to pay.
